From setup to report, with nothing for you to run.
You spend about ten minutes. Your team spends about eight each. The report arrives by email when the survey closes.
Step 1. Set up your forum
You sign in with a code sent to your email, then answer a few questions: the name of the business, the industry closest to yours and roughly how many people work there. Calibre Forum offers a set of job titles that suit that industry, such as partner, practice manager, paraplanner or technician, and you confirm or adjust them. Then you add your team's email addresses, and mark who is an owner, a manager, staff or IT.
Payment happens on a standard card checkout page. Your invitations go out only when you press send.
Step 2. Your team answers
Each person receives an email from Calibre Forum with a personal link, so there is nothing to install and no password. For most staff the link opens a survey of about eight minutes, designed for a phone. It asks people to describe their own role, the tasks that fill their week, the tools they use and how they feel about change. Questions about AI tools sit alongside questions about other tools and ways of working. Owners, managers and IT people answer a longer set written for their role, covering policy, systems, security and insurance, which takes roughly 15 to 25 minutes.
A round stays open for 14 days. During that time you can see how many people have finished, but never who. The report is built when the round closes, so no one person's answers can be picked out as they arrive, and we email you the moment it is ready.
Step 3. The report arrives
When the round closes, the results are combined, scored and written up. The report is emailed to the owners and admins on your account as a link, and you can view it online or save it as a PDF from your browser. Section by section, it covers what is in the report.

Each answer is stored against a group, not against a person. Results show only where three or more people in a group answered. Read how that works and its limits.
Step 4 (optional). Repeat it every three months
With a membership, the same team is invited to take the survey again about every 90 days, and you receive a new report from each round. It is the same process, run automatically, so you can see where things stand later in the year.
Common questions about the process
Do I need to be technical to set this up?
No. Setup is a short wizard: sign in with an emailed code, name your business, choose the closest industry, confirm the job titles that suit your team and paste in email addresses. Most owners finish in about ten minutes.
What do staff need to do?
Open the personal link in their email and answer on a phone or computer. There is no account to create and no password. Most staff take about eight minutes. Owners, managers and IT answer a longer set, roughly 15 to 25 minutes.
What if some people do not respond?
The report states how many people took part out of how many were invited. A report can be prepared once at least three people have answered, and the more who answer, the more reliable the group results are. Groups with fewer than three responses are not shown separately.
Can I close the survey early or send reminders?
Each round stays open for 14 days and then closes on its own. The report is built when the round closes, not before, so no one person's answers can be picked out. Talk to us through the contact page if you need a different arrangement.
What happens to the data afterwards?
It stays in your account while you remain a customer. The security and privacy page explains where it is stored, who handles it and what we do when an account ends.
